User Roles

Every user has one of five roles — Root, Administrator, Normal, Advanced or Restricted — and the role decides which parts of the account they can reach and how much contact data they can read, export or see unmasked. There is no Owner, Manager or Viewer role.

Instructions

  1. Every user is assigned one of five roles: Root, Administrator, Normal, Advanced, or Restricted. The role controls which parts of the account they can see and what they can do with contact data.
  2. There is no Owner, Manager or Viewer role in EmailElement. If a user names one, tell them which of the five roles they mean.
  3. Roles are chosen under Account > User Management when a user is added, and can be changed later by editing the user. The list there offers Administrator, Normal, Advanced and Restricted. Root is not assignable and a Root user cannot be edited from the grid.
  4. Root — everything an Administrator can do, plus editing the Company Info card on Account > Profile. The account is created with one Root user. Company Name, Address, City, State, Zip Code, Country, Phone Number, SMS Phone Number and Time zone are all on that card and are Root only; for every other role those fields are greyed out. An Administrator cannot be granted this.
  5. Administrator — full access to the platform, plus account administration. In addition to everything a Normal user can do, an Administrator sees these tabs under Account:

  1. Normal — the standard working role. Full access to the product (contacts, segments, delivery data, reporting, and exports) but no account administration. Under Account, a Normal user sees only the Profile and Notifications tabs.
  2. Advanced — currently identical to Normal. The option exists for future use; selecting it grants exactly the same access as Normal today.
  3. Restricted — the same as Normal, but without access to contact email addresses:
    • Email addresses are masked wherever they appear in the platform
    • Export and download options are hidden on Contact Lists, Segments, Suppression Lists, and Reports
    • Filtering and searching by email address is unavailable in the Delivery Events stream
    • This role suits users who need to work with campaign performance and delivery data without seeing personally identifiable contact information
  4. Role, Created On and Proxy on the Profile tab are read-only for every role, Root included. The Profile card itself holds First Name, Last Name and Email, and every user can edit their own.
